Program Assistant

• Perform full background data and document collection for property unit files during the application process;
• Review client application files and prepare Income Verification Statements for HUD, CDBG and other funded property interventions;
• Contact owners, residents, and subcontractors to schedule dates and times for site assessments, Risk Assessments, interventions (in conjunction with Program Director), and clearance inspections;
• Perform data entry and updates in ETO database on property applications, site assessments, Risk Assessments, interventions, clearance inspections, and other programmatic data;
• Create and generate program reports using ETO and other programmatic tracking charts;
• Research materials pricing and prepare purchase orders for LeadCorps Program;
• Assist with maintaining inventory records, maintenance of necessary supplies to meet program demands, and materials record keeping;
• Prepare property owner survey letters and Title X Compliance letters to owners post remediation;
• Participation in weekly Program meetings where required to review project benchmark status, task completion, and program impediments;
• Prepare record keeping on Program member hours, timesheets, etc.
• Route and respond to client inquiries in a timely and courteous manner including: client correspondence, client and owner packet assembly, and filing;
• Assist with outreach projects and participate in community outreach events on an as-needed basis;
• Provide general administrative support to the organization including answering intake calls;
• Maintain a positive working atmosphere in order to keep efforts focused on the mission of the organization.  This also includes promoting appropriate work behaviors and attitudes and mutual respect with Coalition staff and clients;
• Other duties deemed necessary to assist the Hazard Control Director;
• All other activities to support the Executive Director, the Coalition, staff and related programs, goals and mission as assigned;
• Passage of Lead Paint Maintenance and Repainting Supervisor, Lead Paint Abatement Supervisor, Lead Paint Maintenance and Repainting Worker, Lead Renovator training course examination with score of at least 80% or higher
